Hardware-as-a-Service (HaaS) for UK businesses
Buying IT hardware outright ties up cash, ages on your balance sheet, and leaves you managing kit you’d rather not think about. Hardware-as-a-Service flips that model: a predictable monthly fee for enterprise-grade laptops, desktops and servers that we supply, configure, maintain, refresh and securely dispose of at end of life.
The problem with buying hardware outright
Most businesses still buy IT equipment the old way: a big cheque every three to five years, followed by a slow slide into obsolescence. That model creates several recurring problems.
- Capital is locked up. A round of new laptops, desktops or a server refresh can run into tens of thousands of pounds, money out of the business in one go, exactly when you might prefer to invest it elsewhere.
- Kit ages and slows down. Machines bought in a single batch all reach end of life at the same time. Performance degrades, warranties lapse, and staff lose hours to slow, unreliable equipment.
- Refresh cycles get deferred. Because replacement means another large outlay, the decision gets pushed back. “Just one more year” becomes three, and you end up running hardware that no longer receives security updates.
- The fleet becomes unmanaged. Without a clear record of what you own, where it is, and when it’s due for replacement, devices drift out of support and out of sight, a problem we tackle directly through IT Asset Management.
- Disposal is an afterthought. Old equipment piles up in a cupboard, often still holding company data, with no certain plan for secure, compliant destruction.
From capex to opex
Hardware-as-a-Service is a subscription. Rather than owning your equipment, you pay a fixed monthly amount per device (or per bundle) for the use of it, plus the services that keep it running.
The financial shift is the headline benefit. A capital purchase becomes a predictable operating expense, so you always have current, supported, properly configured equipment without ever having to fund a hardware refresh out of one year’s budget.
- Spread the cost. Budget the same amount each month instead of finding a lump sum every few years.
- Improve cash flow. Keep working capital in the business rather than sinking it into depreciating assets.
- Make planning easier. A consistent per-device cost makes forecasting straightforward as you grow or scale back.
- Treat IT as a service, not an asset. Operating costs are typically simpler to account for than depreciating capital assets, speak to your accountant about how HaaS is treated for your business.
What’s included
A Chronos HaaS agreement covers the full life of every device, so there’s nothing for you to organise separately.
Supply
We specify and source the right enterprise-grade hardware for each role, laptops, desktops, workstations and servers, through our established vendor partnerships, sized to the job rather than over- or under-spending. For one-off purchases outside a subscription, see Hardware Sourcing.
Configure
Every device arrives set up and ready to work: operating system, security software, business applications, encryption and your company policies applied before it reaches the user’s desk.
Maintain
We keep the fleet patched, monitored and supported throughout the agreement. If a device fails, we repair or replace it so your team isn’t left waiting. Ongoing support sits naturally alongside our Managed IT Services.
Refresh
When equipment reaches the end of its agreed term, we replace it with a current model as part of the same subscription, no separate purchase, no budget shock, no fleet of machines all expiring at once.
Recycle & securely dispose
At end of life we collect retired hardware, securely wipe or destroy the data it holds, and recycle it responsibly, with documentation to evidence it.
Who it’s for
HaaS suits organisations that want reliable, up-to-date equipment without the capital outlay or the management burden. It’s a particularly good fit for:
- Growing SMEs that need to add devices as they hire, without a fresh purchase decision each time.
- Finance and operations leaders who want predictable monthly costs and cleaner budgeting instead of irregular capital spikes.
- Businesses with ageing fleets that have been putting off a refresh and need a manageable way to modernise.
- Organisations that care about compliance and data security at every stage of the device lifecycle, including disposal.
- Hampshire businesses in and around Hook, Odiham, Basingstoke, Fleet and Farnham that want a local IT partner, and UK-wide businesses we support remotely.
If you’d rather own your equipment but need help choosing and buying it well, our Hardware Sourcing service may be a better fit. If you need to get a handle on hardware you already own, start with IT Asset Management.
From assessment to refresh
Getting started with Chronos HaaS is straightforward, here’s the path from first review to a fully managed, self-refreshing fleet.
Assessment
We review your current hardware, how your team works, and what each role actually needs. This is part of your free IT assessment, no obligation.
Specification
We recommend the right devices and bundles, with a clear monthly cost per device. You see exactly what you’re getting and what you’ll pay.
Build & configure
We procure, configure and security-harden every device to your standards before deployment.
Deploy
We roll out the equipment to your team, with the handover and onboarding handled for you.
Manage
Throughout the term we maintain, monitor, patch and support the fleet, replacing any device that fails.
Refresh or retire
At end of term we refresh devices with current models, or securely collect, wipe and recycle retired kit, and the cycle continues.
Sustainability & secure disposal
What happens to hardware at the end of its life matters, for your data and for the environment.
Secure data handling. Retired devices frequently still contain sensitive company and personal data. Under the UK GDPR and the Data Protection Act 2018, organisations are responsible for protecting that data throughout its lifecycle, including secure erasure or destruction when equipment is decommissioned. Our HaaS service builds this in: we securely wipe or destroy data on every retired device and provide documentation to evidence it.
Responsible recycling. End-of-life IT also falls under the UK’s Waste Electrical and Electronic Equipment (WEEE) Regulations, which govern how electronic equipment must be recovered and recycled. We handle collection and recycling responsibly so retired hardware doesn’t end up in landfill or in a cupboard.
Less waste by design. Planned refresh cycles and right-sized specification mean you replace equipment when it makes sense, not too early, not too late, extending the useful life of your fleet and reducing avoidable waste.
Where we hold a relevant secure-disposal or recycling accreditation (for example a WEEE-registered carrier or certificate-of-data-destruction provider), we name it only when held, never as an unsubstantiated claim.
Technology partners
We supply HaaS hardware through long-standing vendor partnerships, giving you access to enterprise-grade equipment at competitive prices, backed by manufacturer support.
Technology partners, vendor relationships, not security certifications.
Hardware-as-a-Service FAQs
What is Hardware-as-a-Service (HaaS)?
Hardware-as-a-Service is a subscription model for business IT equipment. Instead of buying laptops, desktops and servers outright, you pay a fixed monthly fee for the use of them, including supply, configuration, maintenance, refresh at end of term and secure disposal. It turns a large capital purchase into a predictable operating cost.
How is HaaS different from leasing hardware?
A traditional lease is primarily a finance arrangement, you fund the equipment over time but usually still manage, maintain and dispose of it yourself. HaaS bundles the hardware with the services around it: we configure, monitor, patch, support, refresh and securely recycle the kit. You get the equipment and the management as one service.
What hardware can be supplied through HaaS?
We can supply enterprise-grade laptops, desktops, workstations and servers, specified and sized to each role through our vendor partnerships. We recommend the right device for the job rather than a one-size-fits-all option.
What happens to my old equipment at the end of the term?
At end of life we collect retired devices, securely wipe or destroy the data they hold, and recycle them responsibly in line with the UK’s WEEE Regulations, with documentation to evidence secure data destruction. As part of the same subscription, we replace them with current models so there’s no separate purchase to fund.
Does HaaS help with cash flow and budgeting?
Yes. By replacing irregular capital purchases with a fixed monthly cost, HaaS spreads spend evenly, keeps working capital in the business and makes IT budgeting more predictable. Speak to your accountant about how HaaS applies to your business.
Is HaaS suitable for small businesses?
Yes. HaaS is well suited to growing SMEs because you can add devices as you hire without a fresh purchase decision each time, and you avoid large one-off outlays. We support businesses across Hook, Odiham, Basingstoke, Fleet and Farnham, and UK-wide remotely.
How does HaaS keep our data secure?
Devices are configured with encryption and security software before deployment, kept patched and monitored throughout the term, and securely wiped or destroyed at end of life. This supports your obligations under the UK GDPR and the Data Protection Act 2018 to protect data across its whole lifecycle. For broader protection, see our Cyber Security service.
Can you manage hardware we already own?
Yes. If you want visibility and control over your existing fleet rather than moving to a subscription, our IT Asset Management service tracks hardware, software and licences across their full lifecycle. We can also advise on the best way to transition existing kit into a HaaS model over time.
